Connect Shopify
Shopify tells Zentra about every order, payment and cancellation. One connection links one shop. Allow about ten minutes.
What you need
- Administrator access to your Shopify shop.
- The owner or an administrator of the company in Zentra.
- The shop’s .myshopify.com address, shown in Shopify under Settings › Domains.
The steps
Create a first webhook in Shopify.
Settings › Notifications › Webhooks › Create webhook. Event “Order creation”, format JSON. For the address, enter https://zentraapp.ch for now: you will replace it in step 4.
Copy the signing key.
Once the webhook exists, Shopify shows below the list the key that signs all your webhooks. Copy it.
Connect the shop in Zentra.
In the app, open Settings › API, shops and post, then Online shops. Choose Shopify, enter ma-boutique.myshopify.com, paste the key and click “Connect the shop”. Copy the receiving address that appears.
Put the receiving address into Shopify.
Edit the webhook from step 1 and paste the receiving address. Then create “Order payment” and “Order cancellation”, in JSON, with the same address.
Place a test order.
It appears in Zentra as a customer order to approve, and the shop’s row shows the last order received.
What happens next
- An order creates a draft customer order: customer, delivery address, items, shipping and VAT taken from Shopify.
- The Shopify payment is linked to the order’s invoice.
- A cancellation is flagged on the order.
What you no longer have to do
- No more orders copied by hand from the Shopify admin.
- No more forgotten invoices: every order waits for your approval in one place.
- Shop payments no longer need ticking off one by one: the payout to your account is recognised in bank matching.
Zentra checks the signature and the shop name of every delivery. A delivery received twice is processed only once.
Connect WooCommerce
WooCommerce sends Zentra every new order and every status change. Allow ten minutes.
What you need
- Administrator access to WordPress, with WooCommerce.
- The owner or an administrator of the company in Zentra.
- A secret of your choice: a long string of letters and digits, kept like a password.
The steps
Connect the shop in Zentra.
In the app, open Settings › API, shops and post, then Online shops. Choose WooCommerce, enter the shop address, for example boutique.ch, paste your secret and click “Connect the shop”. Copy the receiving address.
Create the “Order created” webhook.
In WordPress: WooCommerce › Settings › Advanced › Webhooks › Add webhook. Status Active, topic “Order created”, delivery URL: the receiving address, secret: the same as in Zentra, API version WP REST v3. Save.
Create the “Order updated” webhook.
Same settings, with the topic “Order updated”. This one reports payment and cancellation.
Place a test order.
It appears in Zentra as a customer order to approve. Mark it paid in WooCommerce: the payment follows.
What happens next
- An order creates a draft customer order, with the customer, items, shipping and VAT.
- A paid order that is processing or completed links its payment to the invoice.
- A cancelled, refunded or failed order is flagged.
What you no longer have to do
- No more double entry between WordPress and your accounting.
- The customer’s details arrive with the order: nothing to retype.
- VAT and shipping costs arrive already broken down.
WooCommerce’s first delivery is an unsigned test: Zentra recognises and accepts it. All others are checked with your secret.
Send your invoices by post
Pingen prints, envelopes and posts your invoices in Switzerland. You use your own Pingen account; each letter is billed to you directly by Pingen.
What you need
- A Pingen account for your company.
- The owner or an administrator of the company in Zentra.
- To try first, a Pingen test account (staging): no letter is posted from it.
The steps
Create API access in Pingen.
In your Pingen account, create API access. Note the client ID, the client secret and your organisation ID.
Save it in Zentra.
In the app, open Settings › API, shops and post, then Postal mail. Choose Test or Real deliveries, paste the three values and the address position on your invoices: on the right for a Swiss envelope. Click “Verify and save”.
Send an invoice.
Open an issued invoice. In the “…” menu, choose “Send by post”, then A Mail or B Mail and colour or black-and-white printing.
Follow the letter.
The letter’s status and its price, as Pingen bills it, stay visible on the invoice.
What happens next
- Zentra sends Pingen the invoice PDF, QR invoice included.
- Pingen prints, envelopes and hands the letter to Swiss Post.
- Zentra keeps each letter’s status with the invoice.
What you no longer have to do
- No more printing, folding, envelopes or stamps.
- No more trips to the post office for customers who want a paper invoice.
- Every letter stays on record with the invoice, in case a customer says nothing arrived.
Until a Pingen account is saved, sending by post stays switched off. Zentra posts nothing in your name without that account.
Connect Claude, ChatGPT or Le Chat
Your assistant reads your customers, invoices and Autopilot tasks, prepares quotes and records, and confirms internal tasks when you ask. You sign in with your Zentra account, with no key to copy. Allow five minutes.
What you need
- A Claude, ChatGPT or Le Chat account that accepts custom connectors.
- The owner or an administrator of the company in Zentra.
The steps
Open the assistants page.
In your Zentra account, open Integrations › Connect an AI assistant and choose your assistant: the steps and the address to copy appear.
Add the connector in the assistant.
Paste the address https://zentraapp.ch/api/mcp in the assistant’s connectors, with no key and no advanced setting.
Sign in to Zentra.
The assistant opens Zentra: sign in, choose the company and what the assistant may do, then allow access.
Open the app once.
Open Zentra on one of the company’s computers: the app publishes the data and tasks the assistant reads.
Ask a question.
For example “Who owes me money?” or “What is waiting for me today?”. In Claude, these questions are also offered in the “+” menu.
What happens next
- The assistant reads the amounts calculated by Zentra, without recalculating them.
- What it prepares arrives as a card in Autopilot; it only confirms it if you ask.
- Each request appears in your account under Integrations, with its status.
What you no longer have to do
- No need to open the app to know whom to remind or what is waiting for you.
- A quote or a customer record takes one sentence, from your phone.
- Simple tasks are settled in the conversation: postpone, ignore, mark done.
The assistant cannot send, pay or delete anything. One click on “Disconnect”, under Integrations, removes its access.
Connect Zentra to Zapier
Zapier connects Zentra to thousands of apps: Google Sheets, Slack, Mailchimp, your CRM. Zentra notifies Zapier by webhook, and Zapier files drafts in Zentra through the API.
What you need
- A Zapier account with webhooks (“Webhooks by Zapier”, included in paid plans).
- A Zentra API key: Read to receive, Read and drafts to send.
The steps
Create a Zap with “Webhooks by Zapier”.
Trigger “Catch Hook”. Zapier shows a receiving address: copy it.
Add this address in Zentra.
In your Zentra account, Integrations › Webhooks: paste the address and choose the events, for example “Invoice paid”. Click “Send a test”.
Test the trigger in Zapier.
Zapier receives the event: type, date and, in data.record, the full document.
Add your actions.
For example a row in Google Sheets or a Slack message, with the fields received.
To create in Zentra, call the API.
Action “Webhooks by Zapier › POST” to https://zentraapp.ch/api/v1/drafts, as JSON, with the Authorization: Bearer header and your key. The draft arrives in Autopilot.
What happens next
- Each chosen event goes to Zapier, signed and resent if it fails.
- What Zapier sends arrives as a card to approve in Zentra.
What you no longer have to do
- No more copying and pasting between Zentra and your other tools.
- Your spreadsheets and team messages keep themselves up to date.
An official Zentra app on Zapier, with no webhook to copy, is being prepared.
Connect Zentra to Make
Make receives Zentra’s events by webhook and files drafts through the API. The “Webhooks” and “HTTP” modules are enough.
What you need
- A Make account.
- A Zentra API key: Read to receive, Read and drafts to send.
The steps
Add the “Webhooks › Custom webhook” module.
Create a webhook and copy its address.
Add this address in Zentra.
In your Zentra account, Integrations › Webhooks: paste the address, choose the events, then click “Send a test” so that Make learns the structure.
Build the scenario.
Connect the modules of your choice to the fields received: type, data.record.
To create in Zentra, add “HTTP › Make a request”.
POST https://zentraapp.ch/api/v1/drafts, corps JSON, en-tête Authorization: Bearer et votre clé.
What happens next
- Each chosen event starts the scenario.
- What Make sends arrives as a card to approve in Zentra.
What you no longer have to do
- Visual automations, with no code, around your invoices and customers.
Make can also read your data with “HTTP › Make a request”, for example GET https://zentraapp.ch/api/v1/invoices?status=issued.
Connect Zentra to n8n
n8n receives Zentra’s events with its Webhook node and calls the API with the HTTP Request node. Its AI agents can also use Zentra’s MCP server.
What you need
- An n8n instance reachable over https from the internet.
- A Zentra API key: Read to receive, Read and drafts to send.
The steps
Add a “Webhook” node.
Method POST. Copy the production address.
Add this address in Zentra.
In your Zentra account, Integrations › Webhooks: paste the address and choose the events.
Check the signature if you wish.
A Code node can check the Zentra-Signature header with the secret shown when the webhook was created; the example is in the API documentation.
To create in Zentra, add “HTTP Request”.
POST https://zentraapp.ch/api/v1/drafts, corps JSON, authentification par en-tête Authorization: Bearer et votre clé.
For an AI agent, add “MCP Client Tool”.
Address https://zentraapp.ch/api/mcp, Authorization: Bearer header and your key.
What happens next
- Each chosen event starts the workflow.
- What n8n sends arrives as a card to approve in Zentra.
What you no longer have to do
- Your automations stay on your server, with your own rules.
Keep the API key in n8n’s credentials, never in plain text in a node.
And for everything else
